Six things to require in a demo

Sales demos show the pipeline board because it looks good. Ask for these instead, on your own data, before the trial ends.

Conflicts search

Can you search every party, opposing party, and related entity across closed matters in one query, and print the result for the file? If the answer involves exporting to a spreadsheet, it is not a conflicts system.

Response time reporting

Can it tell you the median minutes between a new inquiry and the first human contact, by source? That number, not the lead count, is what you manage.

Clean handoff to the matter

When a lead signs, does the contact, the facts, and the fee agreement land in the case file automatically, or does a paralegal retype it? Double entry kills adoption within a month.

Text messaging on the record

Clients text. If texting happens on personal phones, the firm has an unretrievable record and a confidentiality problem. Require firm-number texting logged to the matter.

Portal that clients will use

Test it on a phone as a client, not as an admin. A portal that needs a password reset every visit gets abandoned, and then everything goes back to email.

Export on the way out

Is a client portal required for law firms?

No rule requires a portal, but the duty of confidentiality under ABA Model Rule 1.6 requires reasonable safeguards when you send client information, and unencrypted email to a shared family address is a weak safeguard. A portal is the cheapest way most firms meet that standard while also creating a retrievable record of what was sent.
