Every Casefleet figure here comes from casefleet.com: the live pricing page and its FAQ, the June 2026 pricing announcement on the Casefleet blog, the product changelog, the terms of service effective February 18, 2026, and 26 Wayback Machine captures of the pricing page from 2016 on. We build CaseAgent, which competes for some of the same litigators, so the comparison at the end uses each vendor's own published price or says plainly that there is none.
How much does Casefleet cost per user?
Casefleet sells three plans per user. The annual price is the one on display, and monthly billing costs 33 percent more on Starter and about 29 percent more on Advanced AI. There is no stated user minimum on the two printed plans.
| Plan | Billed annually | Billed monthly | Five users for a year |
|---|---|---|---|
| Starter | $30 per user a month | $40 | $1,800 annual, $2,400 monthly |
| Advanced AI | $140 per user a month | $180 | $8,400 annual, $10,800 monthly |
| Enterprise | Quote | Quote | Framed for 20 or more users |
Those totals are before storage. Advanced AI includes 5 GB per account, not per user, and every gigabyte above that is $10 a month. Starter includes no stated storage at all and bills $10 per GB a month from the first one. A single medical malpractice or construction defect matter with scanned records and deposition video can pass 5 GB on its own, so ask what your current case files weigh before you compare totals.
Which Casefleet plan do you actually need?
For a litigator the plan choice comes down to two limits on Starter, and both bite early. Starter allows 20 documents per case and has no full-text search, so it suits a solo building a timeline from a handful of key exhibits, not a team working a real production.
| Feature | Starter | Advanced AI | Enterprise |
|---|---|---|---|
| Documents per case | 20 | No limit (daily upload limits apply) | No limit |
| Full-text search | No | Yes | Yes |
| Document Intelligence | No | Summaries, semantic indexing, entity recognition | Yes |
| Casey AI assistant | No | 100,000 AI credits per user a month | Yes |
| Storage | $10 per GB a month | 5 GB per account, then $10 per GB | 5 GB per account, then $10 per GB |
| HIPAA BAA | No | Annual accounts, extra fee | Extra fee |
| Single sign-on, data migration | No | No | Yes |
The HIPAA line matters more than it looks. A personal injury or med mal firm that stores medical records in a vendor's cloud needs a business associate agreement, and Casefleet signs one only on annual accounts and for an unpublished extra fee. Ask for that fee in writing with the quote. Bulk uploads, needed to load a full production at once, are an add-on as well, and the terms say uploads above 1,000 files a day are quoted up front.
How Casefleet pricing has changed since 2016
Casefleet started in Atlanta in 2015 as a practice management product with billing and trust accounting, then narrowed to litigation fact management. Its pricing page in the Wayback Machine traces that path.
| Capture | Plans and price per user a month | What changed |
|---|---|---|
| 2016 | One plan, $55 annual, $65 monthly | Practice management with billing and trust accounting |
| July 2017 | Timelines $34 / $49, Professional $54 / $69 | The turn toward fact management begins |
| August 2018 | Starter $30 / $40, Standard $75 / $100 | The structure that held for almost eight years |
| December 2024 | Same | Usage fees for storage, OCR and transcription added |
| October 2025 | Same | Document Intelligence and the AI assistant appear, 10,000 credits |
| January 2026 | Starter $30 / $40, Advanced AI $75 / $100 | Standard renamed, same price |
| June 2026 | Starter $30 / $40, Advanced AI $140 / $180 | Price up 87 percent annual, credits raised to 100,000 |
| September 29, 2026 | Same | OCR, transcription and Document Intelligence no longer billed separately |
That is why the numbers in search results disagree. Lawyerist and Software Finder still show $30 and $75. Capterra and GetApp show $40 and $100 for a plan named Standard, the old monthly rates, under a "last updated September 2026" stamp. Several ITQlick pages print $49, which was the monthly price of the 2017 Timelines plan. None of them shows $140.
In fairness to Casefleet, part of the increase replaced fees. Between December 2024 and September 2026 a firm could pay per page for OCR and Document Intelligence and per minute for transcription on top of the $75 seat. From September 29, 2026 those charges are gone, so a team that transcribed a lot of deposition audio may find $140 close to what it already paid. A team that mostly linked facts and exhibits pays nearly twice as much for the same work.
What the Casefleet terms say about renewal and leaving
| Section | What it says | What to do |
|---|---|---|
| 5, refunds | All amounts paid are non-refundable, including partial periods, downgrades and removed users | Buy monthly until the team is settled |
| 5, price changes | At least 30 days notice of an increase | Lock the rate for the annual term in the order |
| 5, AI credits | Credits do not roll over; overages at $0.001 a credit are non-refundable | Watch usage in the first busy month |
| 5, disputes and late fees | Billing disputes within 60 days; 1.5 percent a month on late amounts | Check every invoice on arrival |
| 7, renewal and data | Monthly and annual plans renew automatically; data downloadable for 30 days after cancellation, then deleted | Export every case before you cancel |
| 19, law | Georgia law, courts of Fulton County | Note it if you are outside Georgia |
The 30 day export window is the clause to calendar. A chronology with hundreds of linked facts is work product you cannot easily rebuild, and once the window closes it is gone. If your next step after leaving is a mediation deck rather than another database, you can turn the exported chronology into presentation slides from a PDF or Word file instead of rebuilding them by hand.
Casefleet vs CaseMap, Everchron and other options on price
| Tool | Published price | Best for |
|---|---|---|
| Casefleet | $30 or $140 per user a month yearly | Fact linking and timelines with an AI assistant |
| LexisNexis CaseMap+ AI | None; FAQ says contact sales | Firms already on Lexis research |
| Everchron | None; per matter monthly to enterprise yearly, custom | Collaborative chronologies on large matters |
| Opus 2 | None | Trial teams in big document cases |
| TrialPad (LIT SUITE) | $50 a month billed yearly, or $600 in the App Store | Presenting exhibits in court on an iPad |
| MyCase | $50 / $100 / $130 per user a month yearly | Practice management, billing and trust, not fact analysis |
| CaseAgent | Per firm: $74 solo, $199 for up to 5 users, $449 for up to 15, a month yearly | Chronologies and drafts built from the documents themselves |
The per seat math is where a litigation team feels the June increase. Five lawyers and paralegals on Advanced AI pay $8,400 a year before storage. A firm price does not grow with every paralegal you add to a trial team, which is the main reason we price CaseAgent that way. If medical records drive your cases, our medical chronology software page compares the tools built for that job, and the legal document review software guide covers the production side of the same workflow.
Casefleet pricing, other questions
Did Casefleet raise its prices?
Yes. The middle plan, called Standard until January 2026 and Advanced AI after that, cost $75 per user a month billed annually and $100 monthly from August 2018 until at least April 30, 2026. By June 13, 2026 it was $140 and $180, an 87 percent increase on annual billing. Starter has stayed at $30 and $40 since 2018.
Does Casefleet have a free trial?
Yes. Casefleet offers a 14 day free trial with no credit card, limited to uploading 10 documents per case. That is enough to test the timeline, fact linking and the Casey assistant on a small matter, but not to load a real litigation file, so pick a closed case with a short record for the trial.
What is the difference between Casefleet Starter and Advanced AI?
Starter caps each case at 20 documents, has no full-text search and includes none of the AI features. Advanced AI removes the document cap and adds full-text search, Document Intelligence (summaries, semantic indexing, entity recognition), the Casey AI assistant with 100,000 AI credits per user a month, 5 GB of storage per account, premium support and the HIPAA BAA option.
Can I get a refund from Casefleet?
No. Section 5 of the Casefleet terms of service, effective February 18, 2026, says all amounts paid are non-refundable, with no refunds or credits for partial periods, downgrades, unused periods or removing a registered user. Plans renew automatically, and after cancellation you have 30 days to download your data before it is deleted.
Is Casefleet cheaper than CaseMap?
You cannot compare list to list, because LexisNexis publishes no price for CaseMap+ AI; its FAQ tells buyers to contact sales. Casefleet is one of the few fact management tools with a printed price, which makes it a useful anchor in a CaseMap negotiation. Everchron and Opus 2 are also quote only.
Casefleet asks you to read the documents and link the facts, then helps you search and summarize what you linked. CaseAgent reverses the order: it reads the file first and hands you the chronology to check, with every entry tied to its page. For a team that spends its evenings building timelines before a deposition, that difference is the cost that never shows up on a pricing page. For the wider field of tools, see our legal practice management software comparison.
