Everything below comes from a document we opened on October 14, 2026: archived Worldox price pages from 2015 and 2016, the Worldox Cloud Service Agreement still published on worldox.com, the vendor pages of LexWorkplace, and public NetDocuments and iManage records we covered in detail elsewhere. We build CaseAgent, which is not a document management system, so we have no horse in the DMS race.
How much does Worldox cost?
The last published price was $460 per concurrent license, plus $97 per license a year for maintenance. Worldox's pricing page put it in one line: "The retail price for Worldox is $460 USD per concurrent license plus $97 USD annual maintenance per license." Maintenance was not optional. "An Annual Maintenance Agreement is mandatory for all new orders of Worldox," the same page said.
Two details made that cheaper than it looks. Licenses were concurrent, so they were counted by people logged in at once: "in a ten-user concurrent license, after ten users are logged on to the program, the eleventh user is prohibited." And maintenance covered upgrades, which the price image listed as "Prior versions: No Charge." Maintenance ran at 21 percent of the license price a year, which is the same ratio iManage still charges for on premises support.
| Concurrent licenses | Licenses, once | Maintenance a year | Year one | Five years |
|---|---|---|---|---|
| 5 | $2,300 | $485 | $2,785 | $4,725 |
| 10 | $4,600 | $970 | $5,570 | $9,450 |
| 25 | $11,500 | $2,425 | $13,925 | $23,625 |
2015 list prices for Worldox GX4 Professional, before reseller discounts and before the server and Windows licenses Worldox ran on.
Directory sites print very different figures today. One lists "$150 to $300 per user per month", which would make a 10 person office pay up to $36,000 a year for software it bought outright for $4,600. That figure has no source and does not describe a perpetual, concurrent license. If you are budgeting, the honest answer is that Worldox is sunk cost, and what you are really pricing is what comes next.
Is Worldox end of life?
Reportedly yes, on December 31, 2026. Foxit's Worldox integration page states that "the legacy Worldox on-premise software is officially reaching End of Life (EOL) on December 31, 2026" and that Worldox Cloud has been discontinued. LexWorkplace, which sells a competing system, gives the same date. We could not find it on a public NetDocuments or Worldox page, and Worldox's home page still tells current users they "can continue to enjoy your Worldox on-premises solution."
Those two statements fit together. End of life does not switch the software off. It ends updates and vendor support, which matters most when Microsoft changes Outlook or Windows under you. Get the date and the support terms from your reseller in writing before you sign anything, because "December 31" is the kind of deadline that gets used to rush a quote.
What does it cost to keep running Worldox?
Less in cash than in risk. Under the old rules, a customer without maintenance paid $300 per support incident, by credit card only, and "If a customer is off maintenance for more than 4 months, the customer must pay the Upgrade Price." That upgrade price was $255 per user from GX3, $305 from GX2 and $355 from anything older, and each included a year of maintenance. After end of life there is nothing to upgrade to, so the real running cost is the server, its backups and whoever you call when indexing breaks.
The firms that get hurt are the ones that keep Worldox through a Microsoft update that breaks email filing, then migrate in a hurry. A planned move in the first quarter costs the same software fees as an emergency move in the third, and much less in lost hours.
What did Worldox Cloud cost to leave?
If your firm was on Worldox Cloud, the Cloud Service Agreement on worldox.com, last updated March 29, 2018, still sets the exit terms. Fees "are non-refundable except for the first thirty (30) days of the Services." The agreement "shall automatically renew either monthly or annually," and either side ends it with "written notice of at least thirty (30) days." To get your data back as a file, "for a $200 fee, World Software will make arrangements within 5 business days for all data to be returned." After 30 calendar days from termination, it "may delete any data."
The same agreement lets World Software assign it "in connection with a merger, acquisition" without notice, which is how a Worldox customer ends up negotiating with NetDocuments. Whatever you sign next, the notice period and the export fee are the two clauses to diary on day one. Put both in the firm calendar with a reminder 60 days ahead, not 30, so there is time to get a competing quote.
What does it cost to move from Worldox to NetDocuments?
NetDocuments publishes no price, but public records show one. An October 2025 renewal order form for an 8 user city attorney office bills $48.25 per user a month for document management, $24.12 for email filing and $8.44 for OCR, plus $578.32 a year for external sharing. A certified partner implementing it for a 5 user office in 2020 charged $3,672: $2,700 for planning, setup and training, and two cents for each of 48,600 documents converted. Every line on that account rose about 20.5 percent between 2020 and 2025. The full breakdown, with a quote checker, is on our NetDocuments pricing page.
Note the change in shape. Worldox counted people logged in at once. NetDocuments and iManage count named users, and the order form says the add-ons must cover every document management user. A 14 person firm that ran comfortably on 10 Worldox licenses pays for 14 seats on every line.
Worldox alternatives and what each costs a 10 user firm
Here are the replacements with a printed or public price, worked out for a firm of 10 named users. Government list prices are a benchmark, not a quote, and every vendor will negotiate.
| Option | Price basis | 10 users a year | Setup or migration |
|---|---|---|---|
| NetDocuments, documents only | $48.25 a user a month, 2025 public order form | $5,790 | Partner quote; $3,672 for 5 users in 2020 |
| NetDocuments with email, OCR, sharing | Same order form, all lines | $10,275 | Same |
| iManage Cloud Essentials | $53.80 a user a month, GSA list | $6,456 | Partner statement of work |
| iManage Cloud Professional | $72.14 a user a month, GSA list | $8,657 | Partner statement of work |
| LexWorkplace Core | $395 a month for 3 users, $50 each after | $8,940 | $1,495 up to 250 GB; from $3,995 up to 1,000 GB |
| Stay on Worldox | Licenses already paid | Server, backups, outside IT | None now, an emergency move later |
LexWorkplace from lexworkplace.com/pricing on October 14, 2026. iManage from the GSA Advantage catalog effective April 14, 2026. NetDocuments from the North Port, Florida order forms.
The pattern is plain. Worldox cost a 10 license office about $970 a year in maintenance once the licenses were bought. Every replacement costs that office $5,800 to $10,300 a year, before migration. The move is worth it for support and for working from anywhere, but it is a six to ten times increase in the line, and it should be budgeted as one. Our comparison of NetDocuments vs iManage covers the two biggest options beyond price, and the iManage pricing post has the contract terms behind the government list.
Because the numbers are this far apart, run the decision as a small bid rather than a single renewal call. Ask two or three vendors for a written quote on the same user count, storage and migration scope, by the same date. A procurement platform keeps those bids side by side, but a shared spreadsheet works for a firm this size. What matters is that NetDocuments, as the incumbent owner of Worldox, quotes against a real alternative.
What to ask before you sign a replacement
- Is the price per named user, and must every add-on cover every user?
- What is the yearly increase cap, and is it written in the order form rather than a policy page?
- How many documents and how many gigabytes does the migration fee cover, and what does the next block cost?
- Does the migration keep Worldox profile fields such as client, matter and document type, or flatten them into folders?
- How much notice ends the contract, and what does it cost to export everything when you leave?
Where CaseAgent fits after the move
A document management system decides where a file lives. It does not read it. CaseAgent sits beside your DMS: it reads the filings, records and correspondence in a matter as they arrive, drafts letters, pleadings and discovery responses with each fact cited back to its page, and keeps court deadlines current. It is priced per firm, not per user: Solo $149 a month, Firm $399 for up to 5 users and Practice $899 for up to 15, or $74, $199 and $449 a month billed yearly. If you are already rebuilding how documents move through the office, that is the moment to add it. See the legal document management software guide for how the two layers fit together.
Worldox pricing, other questions
How much does Worldox cost?
The last price Worldox published was $460 per concurrent license plus $97 per license a year for maintenance, which was mandatory on new orders. That was the September 2015 list for Worldox GX4 Professional. A 10 license office paid $5,570 in year one and $970 a year after. Worldox sells no new licenses publicly today.
Is Worldox end of life?
It is reported to be. Foxit and LexWorkplace both state that on premises Worldox reaches end of life on December 31, 2026, and that Worldox Cloud was discontinued earlier. We could not find the date on a public NetDocuments or Worldox page, so ask your reseller to confirm it in writing before you plan around it.
What is a Worldox concurrent license?
A license counted by people logged in at the same time, not by named users. Worldox put it this way: with ten concurrent licenses, after ten users are logged on the eleventh is refused. A firm with 14 staff who are never all in the system at once could run on 10 licenses.
What does it cost to move from Worldox to NetDocuments?
NetDocuments prints no price. A public 2025 order form for an 8 user law office bills $48.25 per user a month for document management, or about $81 with email filing and OCR, plus $578.32 a year for sharing. A certified partner charged a 5 user office $3,672 to implement it, including $0.02 per document converted.
Can I keep using Worldox after end of life?
The software does not stop on a date. Worldox's own site still tells current users they can continue with the on premises product. What ends is updates and vendor support, so every Windows, Office or Outlook update after that is a risk you carry alone. Under the old rules, a customer off maintenance for more than four months had to pay the upgrade price to come back.
What are the alternatives to Worldox for a small firm?
NetDocuments, the vendor that bought Worldox, iManage Cloud, and smaller cloud systems such as LexWorkplace. LexWorkplace prints its price: $395 a month with 3 users, $50 for each extra user and a $1,495 one time migration for up to 250 GB. iManage lists $53.80 per user a month on the government schedule.
