NetDocuments Pricing and NetDocuments Cost per User on Real Order Forms

NetDocuments is quote only and has printed no price since 2015. Public records fill the gap. An October 2025 renewal for an 8 user law office bills $48.25 per user a month for document management and $86.82 with email filing, OCR and external sharing. The AI tier that office added in 2026 costs another $84.38 per user. The contract renews every year and lets the vendor raise fees by up to CPI plus 5 percent.

Short answer

Four lines on the order form, and three of them are multiplied by every user

A NetDocuments quote for a small or mid-size firm is a short order form. Document management is the base line. Email filing and OCR are add-ons, and the order form says the number of users on any add-on "must always be equivalent" to the number of document management users, so you cannot buy email filing for the lawyers and skip the staff.

The figures on this page come from the City Attorney's Office of North Port, Florida, which filed its signed NetDocuments order forms with the city commission in 2020, 2025 and 2026. It is a public law office of 5 and later 8 users, the closest thing on the public record to a small firm account.

NetDocuments DM

The document system, with 20 GB of storage per user. $40 in 2020, $48.25 in 2025.

ndMail

Email filing from Outlook, with 10 GB more per user. $20 in 2020, $24.12 in 2025.

OCR

Makes scans searchable. $7 in 2020, $8.44 in 2025, billed even while marked inactive.

CollabSpaces

Sharing with people outside the firm. A flat line, $480 a year in 2020 and $578.32 in 2025.

Wayback Machine captures of netdocuments.com and three signed order forms

From $20 a user in public to $48.25 on a private order form

NetDocuments printed its prices for at least eight years. From 2010 to early 2014 the page read $20, $30 and $38 per user a month for Basic, Professional and Professional+, with a 2 user minimum and the line "No Setup fees, no cancellation fees, no support fees". In June 2014 those became $25, $35 and $40.

The last capture with a price is February 4, 2015: Basic $25, Pro+ $40, and a new 5 user minimum. Seven weeks later the same page said "Request a quote", and it has not shown a number since.

That history explains what directories still print. A "starting at $20" figure is the Basic edition retired in 2014. A "starts at $40" figure matches the 2015 Pro+ price and, by coincidence or not, the document management line on the 2020 order form.

  1. April 2007

Basic $48 total for 5 users, Professional $25 per user for 3 to 50 users. Extra storage $75 per GB.

  2. September 2010 to February 2014

$20, $30, $38 per user a month. "Minimum 2 users." Email management was 30 percent of the subscription, extra storage $3 per GB a month.

  3. June 2014

    Raised to $25, $35, $40, still a 2 user minimum.

  4. February 4, 2015

Last published price. Basic $25, Pro+ $40, "5 user minimum". Enterprise for 50 or more users, on request.

  5. March 26, 2015

Prices replaced by "Request a quote".

  6. August 2020, order form, 5 users

Documents $40, ndMail $20, OCR $7 per user a month, CollabSpaces $40 a month. $4,500 a year, or $75 per user a month all in.

  7. October 2025, renewal, 8 users

Documents $48.25, ndMail $24.12, OCR $8.44. $8,335.04 a year, or $86.82 per user a month. Every line up about 20.5 percent in five years.

  8. January 2026, AI amendment

AI300, ndMAX Enterprise, $8,100.48 a year for the same 8 users. The AI line nearly doubles the account.

GSA Advantage, reseller contract 47QSWA18D008F

The NetDocuments government price list, line by line

One full NetDocuments price list is public: the federal schedule catalog of its government reseller, with more than 400 lines. These are ceiling prices for agencies, per unit for a year, and they include the schedule fee. A law firm does not buy from this list. It is still the only place the current bundle names and the volume tiers appear in writing.

NetDocuments prices on the GSA Advantage price list
Line A year A month, our division
ND100, NetDocuments Starter "basic document and email management with OCR"$1,362.62$113.55
ND200, NetDocuments Core "bundled solutions for document and email management"$1,516.65$126.39
Document management, 10 to 49$924.21$77.02
ndMail, 10 to 49$402.86$33.57
CollabSpaces, ndSync, external users$118.49 each$9.87
eSignature, 10 to 49$142.19$11.85
Premium Support, 10 to 49$177.73$14.81
Extra storage, 10 GB$296.22$24.69
Extra storage, 1 TB$25,178.84$2,098.24

Two things stand out against the real order form. The government list price for document management, $77.02 a month, is well above the $48.25 a small city office actually pays, so list is a ceiling and not what a negotiated account looks like. And the unit on the listing is "EA": the tier names imply one user for one year, but the catalog never prints the words "per user", so confirm the unit before you quote these numbers to anyone.

A signed 2026 amendment and the government list

What ndMAX adds to a NetDocuments bill

The AI tier is where a NetDocuments quote changes size. In the one account on the public record, AI300 costs $84.38 per user a month against $86.82 for documents, email, OCR and sharing together. Circulating estimates of "$15 to $25 per user" for ndMAX do not survive contact with a signed amendment.

AI100

ndMAX Legal AI Assistant

AI200

The customer "can create, edit, and activate only 5" apps. Listed below AI100, which we report as printed.

AI300

ndMAX Enterprise

$1,012.56

a year per user on a signed commercial amendment, $841.27 on the government list

Unlimited apps, the assistant, the Microsoft Copilot integration, PatternBuilder MAX and Background Apps.

Every user, or none

The amendment says the number of users of the add-on "must be equivalent to the number of NetDocuments DM or ORGANIZE Internal Users". A 40 person firm cannot license AI for its six litigators. It licenses 40.

A usage ceiling inside a seat price

The amendment sets token thresholds per six hour period, after which NetDocuments may "temporarily throttle or disable Customer's usage". Ask for the threshold in numbers and what a heavy review day does to it.

For scale against other legal AI seats, see our breakdowns of Harvey AI pricing and Clio Work pricing. At $84.38 a user for all 8 seats, this office pays $675 a month for AI that works on stored documents. CaseAgent's Practice plan covers up to 15 users for $449 a month billed yearly and does the matter work itself.

netdocuments.com service agreement and three signed order forms

What the NetDocuments agreement and order form say about cost

The public Software as a Service Agreement has no price and no term length. It defines the term as whatever the order form says. So the contract is read in two places, and the order form is the one that holds the dates.

NetDocuments service agreement and order form clauses that affect cost
Where What it says What it means for your budget
Agreement 8.4, Fee Escalation"No more than once per annum, NetDocuments may increase the fees for Services listed on any Order Form by up to CPI plus 5%."CPI is not defined in the agreement. With inflation at 3 percent that is a ceiling of 8 percent a year. The 2020 signed copy said a flat 7 percent.
Order form 2.1, TermOne year from the billing date, then "consecutive annual terms" unless either side declines in writing "at least 30 days prior to the end".Miss the notice date by a day and you own another year.
Order form 3.3, Billing"NetDocuments will invoice Subscription Fees Annually in advance."The year is paid up front. There is no monthly option on these forms.
Order form 3.2, Add-onsUsers of any additional service "must always be equivalent to the number of NetDocuments DM Internal Users".Every add-on is multiplied by the whole headcount.
Renewal form, SeatsLicenses may be increased or reduced at renewal by written notice. "Reduction of licenses and/or products cannot be made after the renewal date."You can shrink, once a year, if you write before the date.
Order form 5, Services"No Professional Services. The Subscription Fees set forth above do not include any Professional Services."Setup, migration and training are a second contract with a partner.
Agreement 7.4, Your dataExport tools are downloaded "free of charge" and removal is the customer's job. Data still on the service 30 days after the end may be deleted, or stored at the old subscription rate.No exit fee, but the export labor is yours. Start it before the term ends.
Agreement 7.3, TransitionUp to 6 more months of use after the end date, if the fee for the period is prepaid within 10 days of electing it.A useful bridge during a migration, at full price.
Exhibit A, Availability99.9 percent a year. Credits run from 1 day of fees for up to 120 minutes over the threshold to 16 days for 961 minutes or more, requested within 30 days after the calendar year.Credits must be claimed, and unapplied credits are lost if you terminate.

The agreement also promises at least 6 months of notice before a service or feature is materially changed or retired, gives 14 days of notice before suspension for non-payment, makes the customer pay collection costs including attorney fees, and caps liability at one year of subscription fees.

Vendor email, partner invoice terms and the government list

Implementation is a second contract with a partner

What the vendor says

A NetDocuments account executive, in a 2020 email filed with the public record: "NetDocuments does not provide internal professional services or implementation as part of your initial setup. Instead we work with a set of technology partners ... Because of that, implementation costs can vary widely from organization to organization."

What a 5 user office paid

Planning, setup, training, support
$2,700
48,600 documents at $0.02
$972
Total, once
$3,672

Paid in two halves, on signing and on completed conversion. A $100 per diem applied to each traveling consultant.

What an agency is listed

The government list sells vendor-run implementation in seven fixed phases, from $19,748.11 for initiation to $296,221.66 for data migration, $799,798.49 in all. That is federal agency scale and no guide to a law firm project, but it shows which phase costs the most: moving the documents.

The implementation ranges printed across the web, $2,500 to $20,000 or more by firm size, come from a competing vendor that also sells migrations, and cite no document. The one documented small office case, $3,672 for 5 users, does fall inside its lowest band. Get a fixed price that names the document count, the email volume and the number of training sessions.

A city attorney office's tabulation of quotes, 2020, plus both government lists

NetDocuments against iManage and a smaller rival in one real procurement

Head to head quotes almost never become public. This one did. In 2020 a 5 user city attorney office collected three written quotes for a document management system and tabulated them for its commission.

Three document management quotes to the same 5 user law office in 2020
Quote Yearly user fees Migration and setup First year Each year after
NetDocuments with a partner$4,500 for 5 users, with email, OCR and sharing$3,672$8,172$4,500
iManage through a partner$7,200, quoted as 10 licenses at $60 a user a month$18,000 for 15 days at $1,200, data migration not included$28,200 with $3,000 yearly support$10,200
Fyler$900$7,575$8,475$900

The office chose NetDocuments and wrote that it "is not the lowest priced software program" but the lowest priced one that met its needs. The gap to iManage was not the seat rate, $60 against $75 all in. It was the 10 license floor on a 5 person office and a setup fee five times larger.

Government list, small tier

The order flips on list price

iManage Work in the Cloud Essentials is $53.80 per user a month on its government list and Professional $72.14. NetDocuments document management is $77.02 at 10 to 49 users. Read both as ceilings.

Negotiation checklist

Six lines to settle on a NetDocuments order form before you sign

Managing partner and office manager comparing printed software quotes at a conference table

The order form is the contract. Once it is signed for a year, the renewal increase, the seat count and every add-on line roll forward with it, so the time to fix them is the meeting where the quote is still on the table.

Take these six lines into that meeting. Each one comes from a clause or a line item in the public NetDocuments order forms above, not from a sales script.

01

A fixed renewal increase

"CPI plus 5%" has no defined index. Ask for a flat number. One public account saw about 3.8 percent a year under a 7 percent cap.

02

The notice date, in the calendar

Thirty days before the term ends, in writing, both to leave and to reduce seats. Put it on two people's calendars.

03

Add-ons you will use

Each add-on bills for every user. The public renewal still charges $809.92 for an OCR line marked inactive. Strike what is off.

04

Storage and the overage rate

The forms include 20 GB per user and 10 GB more with ndMail. Get the price of the next 100 GB written down.

05

AI as its own decision

ndMAX is licensed for every user and can nearly double the bill. Ask for the tier, the app limit and the token threshold in numbers.

06

The partner's fixed price

Setup and migration are not in the subscription. Ask for a per document conversion rate and a capped total.

Answered first, then explained

NetDocuments pricing questions buyers ask

How much does NetDocuments cost?

NetDocuments publishes no price. The most recent public order form, an October 2025 renewal for an 8 user city attorney office, bills $4,631.52 a year for document management, which is $48.25 per user a month, and $8,335.04 with email filing, OCR and external sharing, which is $86.82 per user a month. The AI tier added in 2026 costs another $84.38.

How much does NetDocuments cost per user?

On the 2025 order form, $48.25 per user a month for document management alone, $24.12 for ndMail and $8.44 for OCR, each bought for every user, plus $578.32 a year flat for CollabSpaces. The same lines were $40, $20, $7 and $480 on the 2020 order form. Government list prices on GSA Advantage run higher, at $924.21 per unit a year for 10 to 49 users.

Does NetDocuments publish its pricing?

Not since early 2015. Its pricing page showed Basic at $25 and Pro+ at $40 per user a month with a 5 user minimum on February 4, 2015, and by March 26, 2015 the same page said "Request a quote". The pricing address on netdocuments.com returns an error today, and the product pages print no dollar figure.

Is there a minimum number of users for NetDocuments?

No current document states one. The last minimum NetDocuments printed itself was 5 users, in February 2015, after years at 2 users. The public 2020 order form was for exactly 5 users, which fits that rule without proving it still applies. Ask the partner to state the minimum in writing before you plan around a smaller team.

How much does NetDocuments implementation cost?

NetDocuments does not implement its own product for a new customer. In a 2020 email filed in a public record, its account executive wrote that it works with certified partners and that "implementation costs can vary widely". The partner in that record charged $3,672 for a 5 user office: $2,700 for planning, setup and training, and $0.02 for each of 48,600 documents converted.

How much does ndMAX cost?

The one public commercial price is $8,100.48 a year for 8 users of AI300, ndMAX Enterprise, signed in January 2026, which is $84.38 per user a month. Government list prices on GSA Advantage are $651.69 a year for AI100, $580.59 for AI200 and $841.27 for AI300. The AI tier must be bought for every document management user.

Does NetDocuments raise prices at renewal?

It can, and in the one case we can measure it did. The public service agreement lets NetDocuments raise order form fees once a year "by up to CPI plus 5%", without defining CPI. An agreement signed in 2020 capped the rise at 7 percent. In that account every line rose about 20.5 percent between 2020 and 2025, roughly 3.8 percent a year.

How much does extra NetDocuments storage cost?

The only sourced figure is the government list on GSA Advantage: $296.22 a year for 10 GB, $2,665.99 for 100 GB and $25,178.84 for 1 TB. The order forms we read include 20 GB per document management user and 10 GB per ndMail user. Ask for the commercial storage rate in writing, because the service agreement does not state one.

Can I cancel NetDocuments at any time?

No. The public order forms run for one year, renew automatically for another year, and require written notice at least 30 days before the term ends. You can reduce licenses only at renewal. When you do leave, the export tools are free, you may prepay up to 6 months of transition, and data left on the service 30 days after termination can be deleted.

Is NetDocuments cheaper than iManage?

For a small office it was, in the one procurement where both were quoted. In 2020 NetDocuments with a partner came to $8,172 in year one and $4,500 a year after for 5 users, against $28,200 and $10,200 for an iManage partner quote built on 10 licenses. On the government price lists the order reverses: iManage Essentials is $645.60 per user a year and NetDocuments document management is $924.21.

A document system stores the file. An agent reads it and does the work.

CaseAgent keeps each matter in one place and puts an AI agent inside it: it reads filings and records as they arrive, drafts letters, pleadings and discovery responses with citations back to the page, and keeps court deadlines current. Solo $149 a month, Firm $399 for up to 5 users, Practice $899 for up to 15, Enterprise $1,798 for up to 45, or $74, $199, $449 and $899 a month billed yearly, with no setup fee and no per user charge.
