Budget $100 a user a month, then check three things

A mid tier plan with e-signature, intake and trust accounting is $89 to $129 a user a month billed yearly at PracticePanther, CARET Legal, MyCase and CosmoLex. That is $5,340 to $7,740 a year for a five person firm.

The seat price is rarely what surprises a firm. What does: a minimum seat count, a setup or implementation fee, and a contract you cannot cut or leave before it renews.

Prices are the ones each vendor prints, in US dollars, and exclude payment processing, e-signature packs, storage over the included amount and taxes. Where a vendor prints only a monthly rate, the yearly cost is that rate times twelve.

Twenty two of the 35 tools quote every plan. For most of them a price was printed once, on their own site or an archived copy of it, and that is the fairest anchor you have.

A quote only vendor is not always the expensive one. Centerbase last listed $59 to $99 a user and TimeSolv $38 to $53, in line with the printed market. What changes is that you cannot compare before the demo, and the first number you hear is a negotiating position, so bring the last printed price and the printed rival with you.

The AI tools price on a different unit altogether. EvenUp and Supio bill per case, Eve Legal bills a platform fee by matter count, and Legora moved to consumption pricing in June 2026. A per user comparison misleads here: work out what a typical month of matters costs instead. What a five person firm pays in year one

The spread inside the printed market is about two to one for the same headcount, and the cheapest plan is not always the cheapest outcome. Lawcus Growth at $59 includes the client portal and QuickBooks sync, but intake, Zapier and the API wait for Elite at $79. PracticePanther's Business plan at $89 is the first with e-signature and intake forms.

Minimums distort small firm math the most. A three person firm on Litify pays for ten licenses, $24,000 a year at the listed rate, while the same firm on Neos pays for three. Setup and onboarding

$399 onboarding at Lawmatics, $399 setup on Clio Grow, a one time implementation fee at CARET Legal, partner implementation at Actionstep.

Getting your data out

CasePeer charges $1,000 for a CSV export and $2,500 for a full one. SmartAdvocate starts at $500, Neos charges $250 after its 30 day window.

E-signature and texting

CasePeer e-signature runs $39 to $99 a month per firm. Lawcus texting is $10 per attorney plus $50 or $150 to register the number.

Payment processing

Around 2.95 percent of card payments at Lawcus and Bill4Time, with ACH or eCheck near 1 percent. On $500,000 of card receipts that is about $14,750.

Storage and hosting

Casefleet charges $10 a GB past 5 GB. Desktop systems need a server or hosting: ProLaw hosting from $49 a user, PCLaw hosting $125 to $195 a user.

Maintenance on licenses

Perpetual licenses still bill yearly. TrialWorks maintenance was $195 a user, and a lapsed PCLaw AMP is charged back as a true-up before you can return.

    Count every seat

    Lawyers, paralegals, assistants and the bookkeeper. Per user pricing charges each one the full rate, so the headcount is the first multiplier.

  2. 02

    Pick the tier by the feature

    Find the lowest tier with the one feature you cannot do without, usually trust reconciliation, intake, workflows or e-signature, and price that tier.

  3. 03

    Add the fees outside the seat

    Setup, migration, e-signature, payments and storage for year one, plus the export fee you would pay to leave in year three.

  4. 04

    Read the renewal clause

    Note the notice date, whether seats can be cut, and whether price increases are capped. Put the notice date in the calendar the day you sign.

How much does case management software cost?

Law firm case management software costs $30 to $200 per user a month among vendors that print a price, and most small firms land between $50 and $130 a user on a yearly plan. Casefleet starts at $30 for litigation chronologies, Lawcus at $39, Clio and PracticePanther at $49, MyCase at $50, Neos at $109 and Litify at $200 with a 10 license minimum. Nearly two thirds of the market quotes instead of printing a price.

How much does legal case management software cost per month?

Expect $50 to $130 per user per month for a full practice management plan billed yearly, and 10 to 25 percent more on monthly billing. MyCase runs $50, $100 or $130 a user yearly and $60 to $150 monthly. A five lawyer firm on a mid tier pays roughly $6,000 to $7,800 a year before add-ons, setup and payment processing.

What is the cheapest legal case management software?

Among vendors that print a price, Casefleet Starter at $30 a user a month (litigation chronologies, no AI) and Lawcus Essential at $39 a user yearly are the lowest. For full practice management with billing and trust accounting, Clio Starter, PracticePanther and CosmoLex Launch all start at $49. Entry tiers usually leave out trust reconciliation, intake or e-signature.

How much does Clio cost per month?

Clio Manage starts at $49 per user per month on the Starter plan. Clio removed the printed prices for Core, Signature and Elite, which are now quote only, and Clio Grow intake was last listed at $59 a user plus a $399 setup fee. Clio terms make all charges non-refundable and leave the rest of the term due if you cancel mid term.

Is Clio or MyCase cheaper?

At the entry tier they are a dollar apart: Clio Starter is $49 a user a month and MyCase Basic is $50 billed yearly. MyCase prints all three tiers ($50, $100, $130), while Clio quotes everything above Starter, so a firm that needs workflows, e-signature or intake can usually see its full MyCase cost without a sales call.

How much does Filevine cost?

Filevine does not publish a price. Its pricing page lists four packages and a set of paid extensions and sends every buyer to a demo. For a personal injury firm, the closest printed benchmarks are Neos Essentials at $109 a user with a 3 user minimum and CasePeer at $90 to $160 a user billed monthly.

Why do legal software companies not publish their prices?

Most quote only vendors sell multi year terms with implementation, migration and add-on packages, and a quote lets them price each firm separately and discount against a competitor. Several vendors on this page removed prices they used to print, including Clio for its upper tiers, Clio Work, TimeSolv, Centerbase and TrialWorks. The contract terms are still published and decide much of the real cost.

Do law firms pay per user for case management software?

Almost always. Every vendor in the price list here charges per user a month except a few: Supio and EvenUp charge per case, Eve Legal bills a platform fee by matter count, LawAlign sells a one time license, and CaseAgent charges one flat price for the firm. Per user pricing means paralegals and assistants each add a full seat.

What hidden fees come with case management software?

The common ones are implementation or onboarding ($399 at Clio Grow and Lawmatics, a one time fee at CARET Legal), data export when you leave ($1,000 to $2,500 at CasePeer, from $500 at SmartAdvocate, $250 at Neos), e-signature tiers, storage over the included limit, payment processing around 2.95 percent of card payments, and minimum seat counts.

Can I cancel legal case management software mid contract?

Usually not without paying the rest of the term. Clio, CARET Legal, Neos, LEAP and Smokeball terms all either forbid termination for convenience, leave the remaining balance due, or bar seat reductions until renewal. Monthly plans are the exception: CasePeer bills monthly only, and most vendors let monthly payers leave with notice at the end of a billing period.
