TrialWorks Pricing and TrialWorks Cost for Firms Deciding Whether to Renew

TrialWorks no longer has a public price. Its website now redirects to a support site, and Assembly Software sells Neos to new buyers at $109 per user a month. The last TrialWorks list was $495 per user plus $195 a year in maintenance. A TrialWorks agreement renews itself unless you give notice at least 30 days before the anniversary date.

Short answer

You are pricing a renewal, not a purchase

Nobody new buys TrialWorks in 2026. Assembly Software, which merged TrialWorks with Needles in 2017, calls it a legacy product and points every buyer to Neos. So the price that matters is the one on your next renewal invoice, set by your account contact, plus what it would cost to leave.

That decision has three honest answers. On your own server, TrialWorks maintenance is cheap next to any subscription, but you carry the server, SQL Server and Office yourself. Hosted, you already pay subscription money for desktop software. And Neos, the move Assembly wants you to make, is a new contract with its own terms.

    Assembly lists Neos Essentials at $99 per user a month in early 2025 and $109 by April 2026, billed yearly, 3 user minimum.

The $495 one time price on Capterra, Software Advice and GetApp is the user license line from this list, often mislabeled "per feature". The $150 per user a month on ITQlick has no source and does not match how TrialWorks was ever sold.

8 x $195 support plus $895 server maintenance. Cheapest on paper. You also own the Windows server, SQL Server licensing, backups and an Office version Microsoft stopped supporting in October 2025, which the TrialWorks FAQ says could affect some functionality.

Keep TrialWorks hosted

8 x ($1,200 hosting + $195 support), about $116 per user a month, for desktop software over remote desktop. Assembly moved hosting to Azure in 2022 and said the move meant significant incremental cost to it, so expect your hosting line to be above the old list.

Move, to Neos or elsewhere

Road 1 looks cheapest because the license was paid years ago. The honest comparison adds what the server costs you. Neos is sold on Assembly's general Terms and Conditions instead, which add two things to know before you switch: section 6(b) says you may not decrease the number of authorized users during the term without written consent, and section 10(c) allows termination only for an uncured material breach or insolvency, not for convenience.

TrialWorks earned its following because it put intake, medical tracking, statute of limitations dates and document generation for a PI firm into one Office based system decades before the cloud suites existed. What none of these systems does on its own is read the records and draft from them. Hosted firms get 30 days and a $250 fee after cancelling. Pull the data and open it somewhere else before you give notice.

Microsoft ended support for Office 2016 and 2019 in October 2025. If TrialWorks still runs on one, budget the upgrade into Road 1.

TrialWorks pricing questions firms ask

How much does TrialWorks cost?

TrialWorks has no published price today. Since at least April 2023 trialworks.com redirects to a support site, and Assembly Software, which owns it, prices it for existing customers through an account contact. The last public list, on trialworks.com from 2013 to 2016, was a $2,995 server license, $895 a year server maintenance, $495 per concurrent user and $195 per user a year for maintenance and support.

Does TrialWorks still publish its pricing?

No. The trialworks.com pricing calculator disappeared after June 2016, and pages such as /pricing and /terms now return 404. The support FAQ talks only about incentives for moving to Neos. The figure of $495 one time that Capterra and Software Advice show is the old per user license fee from that 2001 to 2016 price list, not a current total.

What did TrialWorks cost per user?

On the last published list, each concurrent user license cost $495 one time and maintenance and support cost $195 per user a year, on top of a $2,995 server license and $895 a year of server maintenance. Those figures barely moved between 2001 and 2016. Maintenance worked out to about 39% of the user license every year.

How much does TrialWorks hosting cost?

Assembly does not publish a hosting price now. From 2014 to 2016 the hosted plan listed $1,200 per user a year for hosting, the $495 user license, $195 per user a year for support and a $199 setup fee per user, with Office and email hosting included. Ten hosted users came to $20,890 in year one and $13,950 a year after that.

Is TrialWorks being discontinued?

Not at the moment. In a post dated March 25, 2026, Assembly says TrialWorks is fully supported, that it has no plans to discontinue support and that there is no end of life date. It also calls TrialWorks a legacy product, recommends planning a move to Neos and says 118 TrialWorks firms have already made that move.

How much does Neos cost compared to TrialWorks?

Neos Essentials is $109 per user a month billed yearly, with a 3 user minimum; Premium and Platinum are quote only. In March and April 2025 the same tier was listed at $99. Eight Neos users on Essentials cost $10,464 a year, which is close to what eight hosted TrialWorks users paid on the old list and far above on premise maintenance.

Can I cancel TrialWorks before renewal?

Yes, but only on time and in writing. Section 7.1 of the Assembly Terms of Service asks for seven days written notice by email or fax, with the account paid in full. Section 7.2 says notice given less than 30 days before the anniversary date still renews and charges you through the next anniversary, with no refund. The 2022 version required 60 days.

Can I reduce users on TrialWorks mid-term?

No. Section 5.5 of the Assembly Terms of Service says contracted user numbers may be adjusted up but not down during a subscription term, and each renewal is for the number of active users at the start of the renewal period. Remove inactive users before the anniversary date, not after it.

What happens to my data if I leave TrialWorks?

Section 7.3 lets you obtain your data during the term and for 30 days after cancellation, after paying any amounts due and a $250 data retrieval fee. After those 30 days the data may be irretrievably deleted. Assembly will archive it longer on written request, for a monthly storage fee. On premise, the SQL database is already on your server.

Is TrialWorks cloud based?

No. TrialWorks is Windows desktop software on a SQL Server database, built around Microsoft Office. You run it on your own server, or Assembly hosts it for you on Microsoft Azure and your staff connect by remote desktop. It is not a browser application, which is the main reason Assembly is moving firms to Neos.
