Neos Pricing: What Neos Software Costs per User, the Three Plans, and What the Contract Locks In
Neos prints exactly one number. Essentials is $109 per user per month, billed yearly, and the Premium and Platinum cards say "Get in touch". The $139 and $189 figures you will see on review sites are not on the vendor's page. What is on the vendor's site, in its terms of service, is the part that sets the real cost: no refunds at any time, automatic renewal for another full term, a 30 day notice window, and a $250 fee to get your data out.

Neos pricing starts at $109 per user per month, paid annually, and stops there
Assembly Software publishes one Neos price. On assemblysoftware.com/pricing, read on 16 September 2026, the Essentials card shows $109 per month per user, billed yearly. The Premium card and the Platinum card each end in a "Get in touch" button with no figure. The page's own FAQ confirms it: "three subscription tiers starting at $109 per user, paid annually", with "actual pricing" depending on the plan and billing cycle, and a tailored quote for the exact number. Neos is built for firms with three or more users, so the smallest published contract is $327 a month, or $3,924 a year.
The rate is the easy part. Assembly's terms of service, which every Neos order form incorporates, say no refunds are paid at any time, that each service renews automatically for another minimum term at the active user count, that cancellation takes seven days written notice by email or fax and must land more than 30 days before the anniversary date, and that getting your data out afterwards costs $250 and has to happen within 30 days. Those five clauses move the total more than the difference between any two tiers.

What the Neos pricing page says, word for word
The page is headed "Neos Plans & Pricing. Priced for how your firm grows." and shows three cards. Essentials is described as "a system built for the work, from intake through case management, add NeosAI when you're ready". Premium adds "the document tools that keep every file inside the case". Platinum is "embedded intelligence across every case, from intake to settlement". Only the first card carries a dollar amount.
The one printed price
"$109 /mo per user, billed yearly"
Essentials only. Key features listed on the card: document management, intake forms and workflows, standard reporting, email and calendar sync. There is no monthly billing option shown for it, and no price for any other plan.
The user minimum
"Built for firms with 3 or more users"
The FAQ's answer to whether Assembly prices for firms under three users: no, "your consultation can route you to the right Assembly product so you're not paying for capacity you won't use yet". A two attorney firm is not a Neos customer.
Early access, top tier only
"Demands Plus. Requires NeosAI Platinum"
Medical chronologies and demand letters "built from the records already in the file" are in early access inside NeosAI and need the Platinum plan, which has no printed price. The feature most PI firms ask about sits behind the quote.
Migration
"Most migrations land in 60 to 90 days"
Assembly says your CSM owns the migration end to end, including data mapping, document conversion and team training, using "proven migration playbooks" for the platforms PI firms switch from. The fee for it is not on the page; the terms list "setup fees" as a separate charge.

ePayments through LawPay ("no activation fee"), Digital Disbursements by ACH, Zelle, Venmo or eDebit, Premium Texting, RingCentral calling, and Medical Records Retrieval through HIPAA compliant partners. Each is a line on the quote.
The claims on the page
"1,450+ PI firms", "99.9% uptime"
Vendor claims, as stated. Note the uptime figure, because the terms of service commit to a different one: 99.0 percent per calendar month, with service credits as the sole remedy. Exhibit D has the clause.
Assembly Software also lists Needles and TrialWorks as products, and Neos is the cloud successor to both. That lineage is why a search for Needles pricing lands on the same page, and why directory listings for Neos still live at the old Needles address. Quote based pricing for the upper tiers is the norm at the plaintiff end of the market; our Filevine pricing breakdown shows a vendor that prints nothing at all.

Every plan includes the one below it. What the table makes clear is that the middle tier is about PDFs and the top tier is about AI and automation. If your firm does not need OCR and Bates stamping inside the case file, there is nothing in Premium to pay for; if it wants any automation at all, it is being sold Platinum.

Two things worth reading twice. Essentials has "intake forms and workflows" on its card but "workflows and process automation" is marked Not Included until Platinum, so the Essentials workflow is a checklist, not an automation. And every AI row is Platinum only, so a firm that wants a demand letter drafted from the records in the file is shopping in the tier with no printed price. Vendor page versus directory listings
The $139 and $189 you will see elsewhere, and where they come from
Search for Neos pricing and the first page is mostly directories: Capterra, GetApp, Software Advice, G2, TrustRadius, SelectHub. Several of them show a full ladder, Essentials $109, Premium $139, NeosAI Platinum $189 per user per month. The vendor's own page shows only the first of those three today.

The $139 and $189 figures are consistent with the plan structure and may well be what Assembly quotes, but they are not published by Assembly on its own site as of this reading, so treat them as a starting expectation and not a rate you can hold the vendor to. What you can hold it to is the terms of service.

The seven clauses in Assembly's terms that decide what Neos really costs
None of the directories mention these. Each is quoted from the terms of service that your order form incorporates, with the section number so you can check it.
01 · Section 5.4
No refunds, ever
"You understand and agree that no refunds or reimbursements, in full or in part, will be paid to you at any time." A seat you stop using in month four is paid through month twelve.
02 · Section 5.5
Automatic renewal for the full minimum term
Each service "will be automatically renewed on the anniversary date" for "an additional term equal to the minimum term stated on your Order Form", at the active user count, and the card or bank account on file "will be automatically charged at that time" for the whole renewal.
03 · Sections 7.1 and 7.2
Seven days written notice, by email or fax, more than 30 days out
Cancellation needs an account paid in full and seven days written notice, and Assembly "can only accept cancellation and termination instructions submitted through e-mail or fax". Notice less than 30 days before the anniversary means you are still charged for the next full term with no refund.
04 · Section 7.3
$250 to get your data, and a 30 day clock
Customer data is available during the term and for 30 days after cancellation, on external storage media, "subject to your payment of ... Assembly Software's service fee of $250 for data retrieval". After 30 days it "may be irretrievably deleted".

The price can move at every new billing period
Assembly "may change the pricing for new Services at any time and for existing services at the beginning of any new billing period". Setup fees and the first term are due on signing the invoice. There is no published notice period for an increase, unlike Smokeball's 60 days.

99.0 percent availability, credits as the sole remedy
The marketing page says 99.9 percent uptime. The contract commits to "at least 99.0% of the time each calendar month", excluding maintenance, with service credits of 1.5 times the outage period, claimed in writing within 10 days of the month, and "your sole remedy".
07 · Sections 5.6, 5.8 and 10.3
Late interest, chargeback fees, Miami arbitration
Unpaid balances accrue interest at 1.5 percent a month plus collection and attorneys' fees; a returned check or chargeback costs $35; disputes go to AAA arbitration filed in Miami under Florida law, with a jury trial waiver.
For contrast, CasePeer's pricing page says "no long-term contract or setup fee required", and Clio's pricing FAQ says you can cancel at any time effective at the end of the current term. The Neos terms are closer to Smokeball's, with one meaningful difference: Assembly renews at the number of active users, so a seat you deactivate before the anniversary does drop off the next term. Smokeball's terms fix the seat count until renewal whether the users are active or not.

Neos vs the personal injury platforms that publish a price
Of the platforms sold to US plaintiff firms, two print a full rate card, one prints an entry price, and three print nothing. One of the two changed the day we checked: CasePeer's three tiers were $79, $119 and $149 on 8 September and are $90, $130 and $160 on 16 September, an $11 increase across the board.

Read the last column with the contract column beside it. Three users on Neos Essentials and three on CasePeer Pro cost within $800 of each other over a year, but one is a non-refundable annual charge that renews itself and the other can be stopped next month. The per user rate for your tier, and the billing cycle
The FAQ says the price depends on the billing cycle. If a monthly option exists for your tier, get both numbers.

The minimum term, in months
That is the length of every automatic renewal too. A 36 month order form renews for 36 months.

Setup, migration and training as fixed fees
The terms list setup fees and hourly rate fees separately. A 60 to 90 day migration priced by the hour has no ceiling.

Section 5.3 allows a change at the start of any billing period with no stated notice. A percentage cap costs nothing to ask for.

How much does Neos cost?
Neos prints one price. Its pricing page on assemblysoftware.com shows the Essentials plan at $109 per user per month, billed yearly, and marks the Premium and Platinum plans "Get in touch". Its FAQ says there are three subscription tiers starting at $109 per user, paid annually, and that actual pricing depends on the plan and billing cycle you choose. Is Neos priced per user?
Yes. Every Neos price is per user per month, paid annually, and the pricing FAQ says pricing is built around your firm's size. Assembly's terms of service renew each service for the number of users equal to the current number of active users at the start of the renewal period, so the seat count on the anniversary date is what the next term bills.
What is the minimum number of users for Neos?
Three. The Neos pricing FAQ says Neos is built for firms with 3 or more users and that smaller practices are routed to a different Assembly product during the consultation. At the published Essentials rate, the smallest Neos contract is 3 users at $109, which is $327 a month or $3,924 a year.
Does Neos have a free trial?
No. The Neos pricing page offers a consultation and a demo, not a trial, and no trial is mentioned anywhere on the page or in its FAQ. Directory listings for Neos also show no free version and no free trial. Ask for a sandbox or a scoped pilot in writing before you sign, because the terms of service say no refunds are paid at any time.
Is NeosAI included in Neos?
Only in Platinum. The plan comparison on the Neos pricing page marks AI document generation, AI document summarization, AI document extraction, AI dynamic layouts and AI chat as Not Included on Essentials and Premium and Included on Platinum. Demands Plus, the medical chronology and demand letter feature, is in early access and requires NeosAI Platinum.
Can I cancel my Neos subscription?
Not for a refund. Assembly's terms of service say no refunds or reimbursements, in full or in part, will be paid at any time. To cancel you must be paid in full, give seven days written notice, and send it by email or fax only. If the notice arrives less than 30 days before your anniversary date you are charged for the whole next term and are not eligible for any refund of it.
Does Neos auto renew?
Yes. Section 5.5 of Assembly's terms says each service automatically renews on its anniversary date for a term equal to the minimum term on your order form and for the number of users active at the start of the renewal, and that a card or bank account on file is charged for the full renewal at that time. Notice has to reach Assembly more than 30 days before the anniversary to stop it.
Is Neos the same as Needles?
Neos is the cloud successor to Needles and TrialWorks, both of which Assembly Software still lists as products. Directory listings for Neos still sit at the old Needles address, which is why a search for Needles pricing lands on Neos. The pricing page says Assembly has 40 plus years in personal injury and 1,450 plus PI firms.
Is Neos cheaper than CasePeer?
On the published entry rate, yes, by $19 a user for the first year, but the two are not sold the same way. Neos Essentials is $109 per user per month billed yearly on a contract that renews automatically with no refunds. CasePeer Basic is $90 per user per month, month to month, with no long term contract or setup fee, as of 16 September 2026, when CasePeer had just raised its three tiers to $90, $130 and $160.
Does Neos charge to export your data?
Yes, $250. Section 7.3 of Assembly's terms lets you request your customer data during the term and for 30 days after cancellation, delivered on external storage media, subject to a $250 data retrieval service fee and payment of any undisputed amounts. The same section says the data may be irretrievably deleted 30 days after cancellation.
The demand letter and the chronology, without buying the top tier
